A practical estimating checklist for trade businesses
A useful estimate captures scope, quantities and the full cost of completing the work. The relevant measurement might be a square foot, fixture, device, load, ton, service visit or agreed milestone.
Confirm scope before pricing
- Document the tasks, locations, quantities and exclusions.
- Confirm access, customer responsibilities, working windows and handoff requirements.
- Identify conditions that would require a change order.
Build the cost
- Count total person-hours, including owner labor.
- Match material quantity units to the quoted unit cost.
- Include equipment hire, mobilization and transport as applicable.
- Include fuel or travel once; check what is already included in equipment or subcontractor quotes.
- Identify waiting, extra stops, disposal, cleanup and documentation.
Check the price and capacity
Use your margin target consistently, decide how overhead is covered and confirm that your organization has capacity in the proposed period. Templates help structure the estimate; they do not replace the professional judgment required for the trade.
Close the loop
Record actual spending and collected revenue, then compare those with the estimate. Update future inputs from completed work. The Starter Kit includes the Production Schedule workbook and customer-document templates.
